What Is Managed Outbound?

Managed outbound, also called managed top of funnel, is an arrangement where one team runs your outbound from start to finish: choosing who to work and why now, finding the contacts, sending personalized messages, and telling your sellers when someone is ready to talk. Your team keeps the conversations and the closing. With Syft, this is an optional model in which we own top of funnel on an ongoing basis, run on Syft's own technology.

AI has changed how GTM works, and most teams haven't seen how much of it can run on its own yet. We built these workflows for our own outbound first, then alongside our customers, so we know where the gotchas are. Managed outbound is the turnkey version: we set it up and run it for you, end to end.

One of our customers, an AI sales agent company, had their agents act on every company Syft surfaced with a dated reason to engage. They saw record pipeline in their first month.

This post explains what managed outbound is, who it fits, how it works step by step, and what sellers do with the time they get back. For the broader idea of agents running the early stages of pipeline, see what is agentic top of funnel.

What managed outbound means

Top of funnel is everything that happens before a buyer agrees to a real conversation: deciding which companies to work, researching them, finding the right people, and reaching out. In most companies, that work is spread across sellers, SDRs, marketing, and a handful of tools.

In managed outbound, one owner takes the whole job. The company defines the problem it solves and the kind of buyer it wants to meet. The owner then runs the weekly work and hands over buyers who are ready to book. The company's sellers do not spend their week on research, list building, or sequence setup.

The key difference from buying a tool is ownership. A tool gives a team something to operate. Managed outbound gives the team a result to receive.

Who managed outbound fits

Managed outbound is most useful when a company wants more first conversations and does not want to build an outbound team to get them. Many seed to Series B companies are in this position. They would rather hire full-cycle sellers and closers, people who run deals from first call to signature, than build a larger group of SDRs. Managed outbound lets those sellers focus on buyers while someone else runs the top of funnel.

How managed outbound works with Syft

The weekly flow has five parts.

  1. Find who to work and why now. Syft identifies companies working on the problem you solve right now, each with a dated, sourced reason. Firmographics only rule out companies you cannot sell to. Evidence decides who is on the list.
  2. Add your own context. That evidence goes into an AI assistant (like Claude or ChatGPT) alongside your first-party data: CRM records and call notes. The assistant uses both to find the best path into each account, including who you already know and what has happened before.
  3. Find the contacts and enroll them. We find the right people at each account and enroll them in sequences organized by industry, use case, or upcoming event.
  4. Write messages the buyer can tell were written for them. Each message carries enough personalization that the buyer can see it was written for them. Templates keep the core messaging right, so the message stays accurate while the details change for each account.
  5. Tell your team when someone is ready. Your team only hears about the work when a buyer is ready to book. They get a Slack message, and a seller takes it from there.

Better context in, better actions out.

Why the workflow gets finished

With agentic GTM, it is easy to get a workflow 90% built. Sources are connected, data is flowing, and the team is excited. But an unfinished workflow is the same as no workflow. Unless it is completed and automated, things slip.

AI GTM is new for everyone, and it moves fast. We kept getting hands-on with customers on prompts and flows anyway, and the setup gets done faster when we do it. So managed outbound finishes the workflow, automates everything that can be automated, and keeps it running every week. The goal is 100% action on the new prioritized companies Syft surfaces each week. This is not outreach to every account in your CRM. It is the companies with a reason to engage now.

What sellers do with their time back

This is the part that matters most. When top of funnel runs without the seller, the week changes:

The aim is simple: sellers sell, and the top of funnel is handled. For a side-by-side look at how research time shifts, see account research agent vs. manual account research.

Why this is not a typical services company

Managed outbound with Syft depends on Syft's technology, not on manual work for each account. The technology finds who to work and why now, keeps the evidence current, and supports the weekly process. People guide it, review it, and make sure the messaging is right. That is why the work can run every week and cover every company Syft finds with a dated, compelling reason to engage right now.

What to expect from the arrangement

How to judge whether it is working

Look at buyer behavior, not send counts. The most useful check is whether first meetings turn into second meetings, because it shows whether the accounts and the reasons were strong enough to earn more time. We explain why in why second-meeting conversion rate is the metric that matters in outbound. For a first-month scorecard, see which GTM AI metrics matter in the first 30 days.

Managed outbound is measured in 100% personalized activity to the companies that need your product, every week.

How Syft fits

Syft is the context behind managed outbound, and you can also use it directly. Through MCP, your AI assistant can ask which companies are working on the problem you solve right now and why, and get dated evidence back.

See it on your own accounts

In a custom demo, Syft runs on the problem you solve and shows companies working on it now, with the dated evidence for each. You keep the results whether or not you buy. Book a custom demo.
